Job Title: Administrative Coordinator

Department: Front Desk & Retail Operations
Reports To: Administrative & Retail Services Manager
Location: Blondie’s Salon & Spa

Position Summary

The Administrative Coordinator is responsible for delivering a refined, seamless guest experience while supporting the day-to-day administrative and retail functions of the salon. This role requires exceptional professionalism, attention to detail, and strong communication skills. Ideal candidates will demonstrate a polished presence and a sincere commitment to luxury client care. Key Responsibilities

Client Interaction & Communication

  • Greet and check in clients with professionalism and warmth

  • Answer all incoming calls using scripted, brand-aligned greetings

  • Respond promptly and professionally to client emails, appointment requests, and messages

  • Assist with accurate scheduling, confirmations, and client record management

  • Educate clients on promotions, loyalty programs, and service enhancement options

Administrative Operations

  • Ensure accurate point-of-sale transactions and proper drawer reconciliation

  • Maintain a clean, organized, and professional front desk environment

  • Track and manage new client inquiries and appointment leads

  • Reference internal updates and documentation to stay aligned with current promotions, policies, and procedures

Retail & Boutique Support

  • Assist clients with boutique product recommendations and service pairings

  • Restock and maintain boutique displays according to visual standards

  • Support boutique inventory tasks, including pricing, counting, and organization

  • Contribute to boutique-related social media efforts as directed

  • Maintain foundational knowledge of all product lines and salon/spa services

Compensation & Benefits

  • Starting pay: $17.00/hour

  • 10% commission on all personal retail sales

Schedule

  • Saturdays, 8:30 AM – 3:00 PM

  • Additional coverage or hours may be offered based on availability and business needs

All team members are expected to maintain a sophisticated business casual appearance with a commitment to exceptional personal grooming and presentation. As a luxury salon and spa, team image is a direct reflection of the brand. Professionalism in both appearance and behavior is required at all times.

Preferred Qualifications

  • 1+ years of client-facing experience in luxury, wellness, retail, or hospitality settings

  • OR an Associate’s degree in Business Administration or a related field

  • Strong written and verbal communication skills

  • Experience with scheduling and POS systems (Phorest experience preferred)

  • High attention to detail, organizational skills, and time management

  • Ability to maintain professionalism and composure in a fast-paced environment

Additional Requirements

  • Must be available Saturdays from 8:30 AM to 3:00 PM

  • Ability to stand for extended periods and handle a fast-paced workflow

  • Must demonstrate discretion, accountability, and a client-first mindset
